Teaching Willa about your agency
Add services, pricing ranges, payment types, team contacts and FAQs so Willa answers like your best coordinator.
Where in Willa: Willa > Knowledge
Who can do this: Owners and admins.
Before you start
- Your list of services
- Your hourly rate range and minimum shift length (if you share pricing)
- Your top 5 to 10 questions families ask
- 1
Services
List what you offer. Add a short description after a dash, for example 'Personal care - bathing, dressing, mobility help'.
- 2
Pricing
Turn pricing on only if you want Willa to share hourly ranges and minimums. Otherwise she says a coordinator will go over pricing.
- 3
Payment types
Choose private pay, long-term care insurance, VA benefits and so on.
- 4
Team contacts
Add who handles urgent issues or existing clients so Willa can route those calls.
- 5
FAQs and extra notes
Add questions families ask often. Each section shows a preview of how Willa will answer.
Check it worked
Call Willa and ask about a service and your pricing. Her answer should match what you entered.
Tips
- Willa never gives medical advice and directs emergencies to 911.
- Shorter, clear answers work better than long paragraphs.
Common problems
- Willa says she'll have a coordinator follow up instead of answering.
- She only answers from what's in Knowledge. Add the question as an FAQ and save.
- I don't want Willa quoting prices.
- Leave pricing switched off. She'll say a coordinator will go over pricing.
- Willa reads long answers awkwardly.
- Keep answers to one or two short sentences. Phone answers should sound like speech, not a brochure.
- Can Willa give care advice?
- No. She never gives medical advice and sends emergencies to 911. That's intentional and can't be turned off.
- We need Willa to route urgent calls.
- Add a team contact for urgent issues with a phone number. Willa uses it for existing clients and urgent concerns.
