Getting your Willa phone number and accepting the BAA
Accept the Business Associate Agreement and get a dedicated phone number for your AI receptionist.
Where in Willa: Willa > Setup
Who can do this: Owners and admins. Accepting the BAA must be done by someone authorized to sign for the agency.
Before you start
- The legal name of your agency
- The area code you want callers to see
- About 5 minutes
- 1
Accept the BAA
Because callers share health information, Willa requires a signed Business Associate Agreement before any calls are handled. Read and accept it in setup.
- 2
Get your number
Choose a local area code. Willa creates your number and your receptionist in one step.
- 3
Wait for the ready check
Setup confirms your receptionist is published and the number is connected. When it says ready, calls will be answered.
Calls. Open any call to read the transcript and summary.
Check it worked
Setup shows Ready, and a test call to your Willa number is answered and appears in Calls within a minute or two.
Common problems
- Setup says the number could not be created.
- Try a different area code. If it keeps failing, contact us and we will finish setup for you.
- Do I need to verify my business?
- Sometimes the phone provider asks for business verification. We will tell you if it is needed.
- My test call rings but nobody answers.
- Setup may still be finishing. Wait two minutes and try again. If setup shows an error, press Retry.
- No numbers are available in my area code.
- Try a nearby area code. Callers mostly reach Willa through your forwarded office line, so the Willa number itself is rarely seen.
- Can I keep my existing office number?
- Yes. Keep your number and forward it to Willa. You never need to publish the Willa number.
- I accepted the BAA but setup still asks for it.
- Refresh the page. If it still asks, make sure you're in the right company using the switcher.
- The call is answered but the call doesn't show in Calls.
- Calls appear after the caller hangs up and the summary is ready, usually within a minute.
