Importing and exporting contacts
Bring in existing leads from a spreadsheet and export your data any time.
Where in Willa: Leads
Who can do this: Owners and admins.
Before you start
- A CSV file (export from Excel or Google Sheets with 'Save as CSV')
- 1
Prepare a CSV
Include columns for first name, last name, phone, email and any notes.
- 2
Import
Upload the file, match columns and review. Duplicates by phone or email are skipped.
- 3
Export
Export your leads or current view to CSV.
Tips
- Imported leads are not contacted automatically unless they have recorded consent.
Common problems
- The upload is rejected.
- Make sure the file is CSV, not XLSX, and the first row is column headings.
- Phone numbers look wrong.
- Include the full 10-digit number. Spreadsheets sometimes drop leading characters or turn numbers into scientific notation; format the column as text.
- Some rows were skipped.
- Rows with a phone or email already in Willa are skipped as duplicates.
- Imported leads aren't being followed up.
- Imported leads have no recorded consent, so Willa doesn't contact them automatically. Your team can reach out personally.
- My export opens strangely in Excel.
- Use Excel's Data > From Text/CSV import so special characters display correctly.
